Responsibilities

The Wholesale Operations Specialist role is the owner of new item set up, system set up and order processing from inception to invoice.  The data integrity of available to sell inventory (ATS), open orders for forecasting and retail confirmation processing is reliant on this role’s ability to keep records current. The Wholesale Operations Specialist will monitor inbound production arrival dates, inbound EDI confirmations and pick tickets to fulfillment through invoice. They will work closely with sales to inform retailers of extensions, order discrepancies and retailer purchase order needs. Operations will own new item set up by liaising with tech for systems integrations, merchants for style change updates, and sales for market item and system set up as well as order confirmations. 

 

KEY RESPONSIBILITIES

 

  • Build and implement scalable wholesale operational processes and standard operating procedures
  • Own the new item setup and “master prep” seasonal tracking document 
  • UPC assignment and systems (Netsuite, NuOrder, GXS) integration and setup within the product development calendar deadlines for market readiness 
  • Item change set up, UPC assignment, retailer communications and purchase order needs affected by the style changes
  • Bulk purchase order maintenance and cancellation  
  • Daily in bound purchase order communications quantifying units and revenue to sales and planning 
  • Weekly order processing updates to sales 
  • Monthly chargeback reporting to sales, finance, tech and leadership 
  • Ongoing chargeback investigating with major retailer partners and cross function with appropriate supply chain and technology teams to improve compliance rules and reduce chargeback losses
  • Communicate with internal logistics teams as needed to expedite product delivery
  • Work with sales audit in to reconcile value of products returned and help maintain credit deduction reporting
  • Create and track return to vendor authorizations (RTVs) as needed
  • New store set up and master store list maintenance in Netsuite
  • Set up new clients in the system and manage the set up of the EDI process
  • Own and communicate retailer floor ready guidelines with the supply chain and production teams for hanger, UPC and routing requirements
  • Understand and communicate retailer routing guides and compliance with the cross functioning teams as needed

 

REQUIRED EXPERIENCE & QUALIFICATIONS

  • 3-5 years of wholesale operations or customer service experience required, preferably in fashion, beauty or jewelry   
  • Must have previous EDI experience
  • Working proficiency in B2B data entry systems
  • Must have advanced Excel capabilities  
  • Project management experience 
  • Experience or willingness to learn Microsoft and Google Office Suite

Actual compensation offered is dependent upon a number of factors including, but not limited to, work location, education, relevant skills and experience of the candidate.

Pay Range

$70,200 - $99,700
